01Scope and controller
This Privacy Policy applies to resellers.cognifit.com (the “Hub”), including reseller registration, account administration, license purchasing and allocation, client management, billing, reporting, support, and related communications.
CogniFit, Inc. (“CogniFit”, “we”, “us”) is the controller of personal data collected through the Hub. When a license holder accesses CogniFit assessments, training, or other CogniFit products outside the Hub, the general CogniFit Privacy Policy also applies to that product use.
02Information we collect
We collect information that you provide, information generated by your use of the Hub, and limited information received from service providers. This may include:
- Account and contact data: name, business email, password hash, phone number, language, role, and email-verification records.
- Company and billing data: company and legal name, tax identifier, billing address, country, currency, billing contact, and reseller status.
- Commercial records: tier, prices, orders, invoices, payment status, bank-transfer evidence, license balance, assignments, client sale price, and calculated margin.
- Client and professional data: names, business contact details, organization, invitation and license status, and the identifiers needed to connect an allocation to CogniFit. Do not enter cognitive results, diagnoses, or unnecessary health data in the Hub.
- Technical and usage data: IP address, browser and device details, pages and features used, session information, timestamps, security events, and audit logs.
- Communications: support requests, feedback, and other messages you send to us.
03How and why we use information
Depending on the context and applicable law, we process personal data to perform our contract, comply with legal obligations, pursue legitimate interests, or with consent. We use it to:
- Create, verify, secure, and administer reseller and administrator accounts.
- Provide pricing, process orders and payments, issue invoices, allocate licenses, invite clients, and generate commercial reports.
- Provide support and send service, security, account, purchase, and license notifications.
- Prevent fraud and abuse, enforce our terms, maintain audit trails, troubleshoot, and improve the Hub.
- Meet accounting, tax, compliance, dispute-resolution, and lawful government-request obligations.
- Send marketing communications where permitted. You may opt out using the unsubscribe link or by contacting us.
04Reseller responsibilities and client data
A reseller that enters or imports another person’s data into the Hub is responsible for having a valid legal basis, providing any required notice, and entering only the data needed to deliver the requested service. Resellers must keep client data accurate, respect applicable privacy and marketing laws, and promptly address requests that concern data under their control.
CogniFit and a reseller may each act as an independent controller for their own purposes. A separate agreement, including a data processing agreement, will govern where one party processes personal data solely on behalf of the other.
05Payments, providers, and sharing
Card payments are handled by FastSpring or another payment provider displayed at checkout. CogniFit does not receive or store full payment-card details. The provider processes payment information under its own privacy terms.
We may share data only as reasonably necessary with CogniFit affiliates and vetted providers supporting hosting, storage, email delivery, authentication, payments, analytics, customer support, security, accounting, and professional advice. We may also disclose data to comply with law, protect rights and safety, investigate abuse, or as part of a merger, financing, acquisition, or transfer of assets. We do not sell personal information.
06Cookies and similar technologies
The Hub uses session cookies and similar technologies that are necessary to sign you in, protect forms, remember language preferences, maintain security, and operate the service. We may use limited analytics to understand performance and improve the Hub. You can control cookies through your browser, although blocking necessary cookies may prevent the Hub from working correctly.
07Retention
We retain account and commercial data while your account or reseller relationship is active and afterward for as long as necessary for the purposes described here. Retention periods depend on the type of record and may reflect contractual, tax, accounting, security, fraud-prevention, backup, and legal-claims requirements. When data is no longer needed, we delete it, anonymize it, or securely isolate it until deletion is possible.
08Security and international transfers
We use administrative, technical, and organizational safeguards designed to protect personal data, including access controls and encryption in transit. No system is completely secure, so account holders must use a unique password, protect their credentials, and notify us of suspected unauthorized access.
CogniFit operates internationally. Data may be processed in the United States and other countries where CogniFit or its providers operate. Where required, we use recognized safeguards for international transfers, such as adequacy decisions and the European Commission’s Standard Contractual Clauses.
09Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of your personal data; object to certain processing; withdraw consent; and lodge a complaint with a data protection authority. You may also have the right not to be discriminated against for exercising a privacy right.
Some information can be updated in your profile. For other requests, contact us using the details below. We may need to verify your identity and authority before acting. Legal exceptions may apply, including where records must be retained for tax, contractual, security, or legal reasons.
10Children
The Hub is a business service and is not intended for children or for individuals under 18. Resellers must not create Hub accounts for minors or submit a child’s data through client-management features. Rules for minors using CogniFit products are described in CogniFit’s general privacy notices and product flows.
11Changes and contact
We may update this policy to reflect changes to the Hub, our practices, or applicable law. If changes are material, we will provide notice as required, for example in the Hub or by email.
